The American Civil Liberties Union (ACLU), a national not-for-profit public interest organization, invites applicants for the full-time position of Office Manager to work in the organization's Immigrants’ Rights Project located in San Francisco, CA.

OVERVIEW
The Office Manager manages day-to-day office operations; develops, implements and monitors systems and procedures; manages the finances of the office; and supervises the administrative staff. The Office Manager cultivates a professional and productive office environment.

ROLES AND RESPONSIBILITIES
  • Work collaboratively with the Project Director to develop, implement and improve administrative functions related to the Project’s litigation and programmatic work, e.g., litigation budget tracking, office expenses , travel, etc.
  • Assist in developing and refining the office culture
  • Recruit, hire, train supervise, and assess the performance of the administrative and paralegal staff
  • Evaluate administrative staff performance through review of completed assignments and work performance
  • Conduct periodic staff meetings with the administrative staff; serve as liaison between New York and San Francisco office paralegal and administrative staff
  • Prepare relevant employment documents for submission to the national office
  • Provide computer software application support to staff
  • Assist Director with the budget forecasting and preparation of the annual administration budget
  • Develop and maintain a budget/accounting system for preparation of annual budget and tracking of current Fiscal Year expenditures to ensure compliance with current budget
  • Monitor all expenditures to ensure ongoing budget compliance
  • Manage status of all accounts payable
  • Manage office premises
  • Revise operating systems and procedures (such as paper and electronic filing systems) as needed
  • Evaluate, purchase and monitor office equipment and computer software to insure optimum efficiency
  • Co-manage computer network and equipment with outside consultant and implement upgrades
  • Troubleshoot IT problems
  • Maintain the inventory of office supplies and equipment
  • Review, negotiate and monitor service contracts
  • Assist with fundraising, maintenance and management of donor database; prepare donor solicitations
  • Function as the Assistant to Project Director; manage the schedules/calendar, screen and route phone calls, assist with correspondence
  • Manage project staff and annual meetings
EXPERIENCE AND QUALIFICATIONS
  • Bachelor’s degree preferred, minimum 2 years experience as an Office Manager, or comparable position
  • Supervisory experience, and strong ability to lead effectively
  • Experience fostering a team environment, personal growth and development of administrative staff
  • Experience in facilities management, procedures and techniques
  • Ability to identify problems within an office environment and use sound judgment to develop feasible solutions
  • Knowledge of filing systems, records management and retention requirements
  • Ability to perform space assessment and design analysis
  • Strong knowledge of general accounting procedures, terms and concepts, including familiarity with general journal entries
  • Advanced level knowledge of Microsoft® Office products
  • Must be able to utilize the features and capabilities of desktop computer and network hardware and software systems
  • Exceptional interpersonal skills
  • Strong written and oral communication skills

COMPENSATION
The ACLU offers a generous and comprehensive compensation and benefits package, commensurate with experience and within parameters of the ACLU compensation scale.
